Introduction & Overview
Welcome to BatchCorner ("we", "our", or "us"). BatchCorner is the all-in-one student community and hackathon operating system dedicated to connecting ambitious college students, builders, campus representatives, event organizers, and industry mentors.
This Privacy Policy governs the manner in which BatchCorner collects, uses, maintains, and discloses information gathered from users of our web platform, waitlist interfaces, SmartPass credentials, hackathon tooling (including the Jury HUD), and affiliated communication groups.
By registering for BatchCorner, applying as a Campus Representative, joining our waitlist community, or participating in a BatchCorner-hosted hackathon, you consent to the practices described in this document.
Information We Collect
We collect only the minimum personal data required to provide a rich, safe, and frictionless community experience:
Academic & Profile Data
- Full name and preferred handle
- College / University / Campus name
- Academic major, department, and graduation year
- Verified email address and student phone number
- Optional links to GitHub, LinkedIn, and portfolio
Skills & Technical Interests
- Technical skillsets (languages, frameworks, tools)
- Primary role (Frontend, Backend, AI/ML, Design, PM)
- Hackathon interests (Web3, HealthTech, AI, Open Source)
- Past hackathons attended and project track records
Usage & Telemetry Data
When you interact with the platform, we automatically collect basic device and session metrics such as browser type, operating system, IP address (for security & fraud prevention), session timestamps, and page interaction analytics. We do not use intrusive spyware or third-party tracking pixels.
How We Use Your Information
We use the data we collect solely for the following legitimate purposes:
- Hackathon Team Matching: To pair builders with complementary teammates based on tech stack, interests, and availability.
- SmartPass Generation: To produce tamper-resistant digital QR passes that verify student entry at offline campus events.
- Jury HUD & Evaluation: Enabling judges and mentors to review project repositories, slide decks, and demo links fairly.
- Community Communication: Sending critical waitlist invitations, onboarding alerts, and campus hackathon schedules via WhatsApp or email.
- Platform Integrity: Detecting bots, preventing duplicate registrations, and upholding our Community Code of Conduct.
Hackathon OS & SmartPass Data
When you participate in hackathons powered by BatchCorner:
SmartPass Digital Credentials
Your SmartPass contains an encrypted hash representing your verified attendance, campus ID, and project team. Check-in scanners operated by event leads only verify your admission status and dietary/t-shirt preferences where explicitly provided.
Jury Scoring Data: Rubric evaluations and private comments made by hackathon judges are stored securely. Aggregate scores determine prize eligibility, while individual private feedback may be shared with teams to support constructive learning.
AI Matching & Teammate Discovery
BatchCorner uses algorithmic vector similarity and AI matchmaking to recommend teammates and mentors with compatible skillsets.
Transparency Principle: Our AI models do not crawl private source code repositories to train third-party public LLMs. We only process publicly displayed skill keywords, project descriptions, and mentor topic tags that you voluntarily choose to share on your builder profile.
Campus Representative Program
Students who apply for or become BatchCorner Campus Representatives provide application data (including college affiliation, club leadership, and outreach goals) via official application forms.
This information is used strictly to evaluate program candidacy, coordinate regional hackathon sponsorships, and issue official certificates of campus ambassadorship. Representative contact information is never shared with third-party marketers.
Information Sharing & Third Parties
We do not rent, sell, or trade your personal data. We disclose data only in the following strictly controlled scenarios:
- Hackathon Organizers: Event organizers receive registration rosters solely for logistics (venue security, badges, food catering).
- Cloud Infrastructure: Verified cloud providers (e.g. Cloudflare, database providers) that operate under strict data protection agreements.
- Legal Obligations: If required by valid judicial process, subpoena, or to protect the vital safety of students at physical campus events.
Data Security & Storage
We implement industry-grade technical, administrative, and physical safeguards:

TLS 1.3 in transit and AES-256 for persistent database storage.
ACCESS CONTROL
Role-based access limitation restricting data strictly to authorized personnel.
MONITORING
Continuous threat analysis and automated anomaly detection against brute-force attacks.
Data Retention & Deletion
We retain your student account data for as long as your account remains active or as needed to provide you with hackathon certificates, badges, and team records.
If you choose to delete your account, we will purge your personal identifying information within 30 days of receiving your request, retaining only anonymized statistical data necessary for event audit logs and fraud defense.

Request a structured copy of your profile data, project submissions, and badges.

Request complete deletion of your builder profile and association with past waitlists.

Student & Minor Protections
BatchCorner is designed for students enrolled in colleges, polytechnics, universities, and senior secondary programs. Our platform is not intended for children under 13 years of age. We do not knowingly collect personal information from individuals under 13. If we learn that such data has been collected, we will take immediate steps to remove it.
Changes to This Policy
We may periodically update this Privacy Policy as our ecosystem expands. When updates occur, we will revise the "Last Updated" timestamp at the top of this page and post a prominent notice in our official WhatsApp community channel.
